Case Study:

A healthcare provider in the area of hospital network (HN) providing a comprehensive range of hospital services including inpatient and outpatient services, surgical sub-specialties and others, was facing a number of challenges in medical transcription workflow. The MT team were overwhelmed with daily volume resulting in delayed turnaround time for transcription - the longest of which was eight weeks post dictation. The workflow did not allow for simple dictation capture and transcription, nor did it allow for easy outsourcing of overflow work. Also, the lack of centralized dictation solution that allowed flexible access for different stakeholders, and any reporting capacity were further underpinned by a strong culture of scepticism, negativity and change fatigue amongst staff following the failed implementation of another vendor.

The company engaged iMedX in November 2015 to provide a centralized electronic dictation and transcription solution via a co-sourcing model, which allowed both iMedX and HN MTs to share the transcription work on the same platform. Post this implementation, the transcription of all outpatient correspondence is completed within 1-5 business days, ready for doctor authentication and release, thus ensuring that the previous backlog of transcription is no longer a clinical risk. The service has now become part of normal practice and includes the dictation, medical transcription, online editing/authentication and distribution of correspondence to GP practices via a secure messaging provider.

Following the successful implementation at the client's facility, the HN is engaging iMedX for implementation at satellite sites; potential for HN MTs to work from home; and medical objects integration to improve electronic delivery rates.
